From standing orders to tomorrow's bake

Panilab is order and production management for bakeries that supply cafés, restaurants and shops every day. Standing orders, the production total and each customer's picking list come out of one daily routine instead of phone calls, paper and memory.

Who it is for

Bakeries with a wholesale round: regular business customers whose orders repeat from day to day, with the odd change. Someone in the office takes those changes, the bakers need a number for each product before the night shift, and someone else assembles each customer's crates and takes them out on delivery. Panilab is built around those three jobs and the people who do them.

The problem

When standing orders live in phone calls, notebooks and messaging apps, tomorrow's work is spread across several places and people fill the gaps from memory.

  • The baker estimates quantities because nobody has added up every customer's order.
  • Staff assemble each order from memory, so a missing tray is noticed at the customer's door.
  • A change made by phone in the afternoon is hard to trace the next morning.
  • Simple questions like "how many croissants did we sell last month?" take an afternoon with paper.

How the daily cycle works

  1. Each morning the system creates an order for every active customer from their standing list. The office adjusts products and quantities where a customer asked for a change.
  2. At a fixed time in the evening the day's orders are locked and added up per product into one production list.
  3. Production staff work from that list and record how much they actually made.
  4. A picking list is generated for each customer at the same time. Staff tick off each line as it goes into the crate and note any line that went out short.
  5. The orders go out on delivery. Delivery rounds with a check-off per stop are planned, not built yet.

What it does

Each card says whether the feature exists in the software today or is still planned.

Built

Standing orders

Each customer has a default list of products and quantities. It becomes a new order automatically every morning, and the office can still edit it.

Built

Daily production list

At the evening cutoff all orders are locked and summed per product. Production staff record the quantity actually produced next to each total.

Built

Picking list per customer

Generated with the production list. Mark each line as picked, or record a different quantity when an item went out short.

Built

Catalogue, customers and roles on the phone

Products with category, unit (per piece or by weight), price and VAT rate. Customer records with tax number and address. Owner, production and delivery roles each get their own tabs in a phone-friendly web app.

Planned

Weekday orders and closed days

A different standing order for each day of the week, plus a closure calendar for the bakery and for each customer, so no order is created for a day someone is closed.

Planned

Delivery rounds

Customers in route order, a "delivered" check-off per stop and a note field for the driver, so there is a record when a delivery is disputed.

Where it stands

Panilab is coming soon. It started as software for one bakery and is being generalised so other bakeries can use it. The order, production and picking core exists in code today. The features below are planned and not built yet.

  • A configurable cutoff with two steps: after the cutoff only the owner can change an order, later it is fully locked.
  • Promotional or sample items added to selected customers' orders for a date range.
  • Simple reports: sales by product and by customer for a date range, and production history.
  • Later, a customer portal so customers adjust their own order before the cutoff.

Invoicing stays with your accountant and recipes are out of scope. If you run a wholesale round and want to see whether Panilab fits it, tell us how your day works.
