Answer prospects while they are still interested

LeadLab is being built to answer website enquiries from a gym or studio's own schedule, capacity and prices. When the records do not hold the answer, it hands the conversation to a person instead of guessing.

Who it is for

Small businesses that sell classes, sessions or memberships, starting with gyms and fitness studios. The people running them teach, look after members and keep the place open, so they are rarely at a desk when a question comes in. LeadLab is meant to answer for them, from information their own team keeps up to date.

The problem

A prospect asks on the website whether there is a spinning class tomorrow at 7pm and what a drop-in costs. If nobody answers, or the answer comes hours later, they have often signed up somewhere else. The sale is lost at the moment the person was ready to decide.

An FAQ chatbot causes a different problem. It paraphrases old documents and can confidently invent a class, a price or a free place that does not exist. LeadLab takes the other route. The assistant will look things up in the business's structured records through a fixed set of checkable queries. If the records have no answer, a person takes over. Bookings are proposed first and carried out only once confirmed.

How it works

Step one exists today. The assistant behind steps two to six is planned and not built yet.

  1. Staff keep classes, dated sessions, capacity, membership plans, prices and short business notes in the admin app.
  2. A visitor asks a question in the chat on the business's website.
  3. The assistant checks the records and answers, or hands over to a person when they cannot answer it.
  4. It records the prospect's details and interest, or proposes a booking for an existing member who is active and allowed to book this way.
  5. The booking is confirmed before anything is changed.
  6. Later, staff mark who actually attended and which sign-ups went ahead, so reports show what the assistant claimed next to what really happened.

What exists and what is next

The foundation the assistant will stand on is built. The assistant itself is not. Each card says which is which.

Built

Structured business records

Membership plans, class templates and dated sessions, instructors, members, FAQs and business notes. Each member has a flag for whether they may book through the assistant. Leads, conversations, bookings, sign-ups and handoffs have their own records too.

Built

An admin app for the team

Staff maintain everything in one place, organised into Inbox, Catalogue, People, Operations, Knowledge and Settings. This side is deployed and running in a pilot.

Built

Guard rails on the data

Every record belongs to one business, and access is refused when a user has no business assigned. Business notes are capped at 300 characters, and common instruction-like phrases aimed at the AI are removed on save. Customer numbers are unique per business.

Planned

Website chat and confirmed bookings

The website chat is the first channel. It will capture prospects, hand over to a person when needed and book classes for verified, active members. Not built yet.

Planned

Keeping answers honest

Warnings for information nobody has re-confirmed in 30 days, a place for owners to test their own assistant, and a preview of the bookings affected before a schedule change is saved.

Planned

More channels later

Telegram and WhatsApp, plus a Telegram bot for managers to check the day's schedule, cancel a class or mark attendance by chat.

Where it stands

LeadLab is coming soon. The data model and admin app are deployed and running in a pilot. The AI assistant and the website chat are not built yet, so there is no automated answering today. There is no launch date and no pricing.

If you run a gym or studio, tell us what happens to a website enquiry today and who answers it. That shapes what the first version does.
